1. Scope
This Privacy Policy applies to RowTune's website, applications, and related support. If your employer or another organization provides your RowTune workspace, that organization controls who may access the workspace and the data submitted to it.
2. Information we collect
We collect information that you or your organization provides, including:
- Account and workspace information, such as your name, email address, sign-in provider, role, business name, industry, currency, and team invitations.
- Customer content, such as supplier files, item catalogs, prices, mappings, notes, review decisions, effective dates, exports, and audit history.
- Support communications, including messages and information you send when asking for help or providing feedback.
- Billing information, such as plan, purchase, payment status, and transaction identifiers. Payment details are submitted to our payment provider rather than stored directly by RowTune.
- Connected-service information. If you connect Google or another supported service, we receive the account details, authorization tokens, file or spreadsheet identifiers, and content needed to perform the action you request.
We also collect limited technical information when you use RowTune, such as IP address, browser and device details, request timestamps, error records, and security events. RowTune uses cookies needed to keep you signed in and browser storage for limited interface state and retry safety.
We use PostHog to understand which pages and product steps are useful and where users encounter difficulty. This includes page visits and actions such as registration, checkout, uploads, and exports, linked to an internal account identifier when signed in. Analytics does not include your email, business name, supplier-file contents, billing address, or tax ID. Automatic interaction capture and session recording are disabled. Analytics browser storage helps connect visits and actions so we can improve the service.
3. How we use information
We use information to:
- provide, maintain, secure, and troubleshoot RowTune;
- create accounts, manage workspace access, authenticate users, and send service emails;
- parse supplier files, match items, calculate and flag proposed changes, preserve review history, and generate exports;
- process purchases, administer plans, and prevent duplicate or fraudulent transactions;
- respond to support requests and improve product reliability and extraction quality; and
- comply with law, enforce our terms, and protect RowTune, our users, and others.
4. AI-assisted file processing
RowTune may send relevant portions of uploaded files to service providers that supply machine-learning models so we can extract structured pricing information. Matching rules, calculations, flags, and your review remain part of the RowTune workflow. Automated output can be incomplete or incorrect, and RowTune does not apply proposed price changes until an authorized user approves and applies them.
5. How we disclose information
We disclose information only as needed for the service, including:
- Service providers that support hosting, storage, databases, model processing, email delivery, payments, security, and customer support.
- Connected services when you direct RowTune to sign you in, import information, or create an export through that service.
- Your workspace so authorized team members can collaborate according to their assigned roles.
- Legal and safety recipients when reasonably necessary to comply with law, respond to valid legal process, or protect rights, safety, and the service.
- A successor in connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business, subject to appropriate confidentiality protections.
We do not sell customer pricing files or use them to deliver third-party advertising.
6. Retention and deletion
Workspace owners can select how long original supplier files are kept. The current choices are 30 days, 90 days, one year, or until deleted. Parsed records, review decisions, exports, account data, and audit history may remain after an original file expires so the product can preserve the workspace's price data and change history.
Authorized users can export workspace data, and workspace owners can request deletion from Settings. We may retain limited information for security, fraud prevention, backup recovery, transaction records, dispute resolution, or legal obligations. Connected services may retain information under their own policies.
7. Security
We use administrative, technical, and organizational safeguards designed to protect information, including scoped workspace access and protected authentication credentials. No system is completely secure, so we cannot guarantee that information will never be accessed, lost, or altered without authorization.
8. Your choices
You can update workspace settings, disconnect supported integrations, export workspace data, or request workspace deletion from RowTune. You may also contact us to ask about your personal information. We may need to verify your identity and, for an organization-managed workspace, coordinate with the workspace owner.
9. International processing
RowTune and its service providers may process information in countries other than the one where you live. Privacy laws and protections may differ in those locations.
10. Children
RowTune is a business service and is not directed to children under 13. If you believe a child has provided personal information to RowTune, contact us so we can review and address the request.
11. Changes to this policy
We may update this policy as RowTune changes. We will post the revised policy here and update the effective date. If a change materially affects how we handle information, we will provide additional notice when appropriate.
